Budget breakdown
Venue: New York Public Library (SIBL and Mid-Manhattan library buildings)
Meeting room(s), WiFi, cleaning and security provided at no cost as in-kind support in concert with the NYPL's "150 year celebrations that same weekend. Potential for nominal AV charge.
Accommodation: Hostelling International, New York. Dorms (4-6people per room including breakfast)
$49pp/pn x 20people x Thursday/Friday/Saturday = $2940
+ Breakfast for three days = $288
+ Extra night for some = ~$350
- = $3,578
Catering/Expenses:
- Lunch can be arranged on an individual basis during a break or we are allowed to bring in catering. ~$15pp/pd x 3days = $1125
- Subway tickets: $2.25 per trip x 2pp/pd x 3days = $337
- Sundries = $250
- Dinner can be bought as a group, at own cost.
Propose to give attendees a per-diem rather than manage centrally. This increases flexibility and decreases paperwork. Therefore, propose to give each attendee $70+ for their ground transport/food expenses or standard WMF volunteer per-diem rate if higher.
- = $1712 (divided by 25people = $68pp)
Travel:
Remaining expenses to be spent on Travel for volunteer attendees. Accommodation and Catering = ~$5300 therefore:
Chapters with own funds will be encouraged to subsidise participants from their countries.
- = $4700 for flights and train transport for volunteers.
- Total of $10,000
